Privacy Policy

How we collect, use, and protect your personal information — in plain language, in line with Australian law.

Overview

Centric Accountants (ABN to be confirmed) (“we”, “us”, “our”) is committed to protecting your personal information. This Privacy Policy explains how we collect, hold, use, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy applies to all personal information collected through our website at centricaccountants.com.au and through the provision of our accounting and advisory services.

What information we collect

We collect personal information that is reasonably necessary for our business functions. The types of information we may collect include:

Contact and enquiry information: When you submit a consultation request or contact form on our website, we collect your name, email address, phone number, business name, and any details you include in your message.

Client information: In the course of providing accounting, tax, and advisory services, we may collect more detailed personal and financial information, including tax file numbers (TFNs), financial records, ABNs, business structures, and other information required to fulfil our professional obligations. The collection and use of TFNs is strictly governed by the Tax File Number Guidelines issued under the Privacy Act.

Website usage information: We use Cloudflare Web Analytics to understand how our website is used. Cloudflare Web Analytics does not use cookies and does not track individual users across sessions or sites. It collects aggregate, anonymised data such as page views and referral sources. No personal information is associated with this data.

How we collect your information

We collect personal information directly from you when you:

• Submit a consultation request or contact form on our website
• Email, phone, or write to us
• Engage us to provide professional services
• Attend a meeting or consultation with our team

We will only collect personal information by lawful and fair means. We will not collect more information than is reasonably necessary for the relevant purpose.

How we use your information

We use your personal information only for the purposes for which it was collected or for related purposes you would reasonably expect. These purposes include:

• Responding to your enquiries and consultation requests
• Providing accounting, tax, bookkeeping, and advisory services
• Meeting our legal and professional obligations as registered tax agents and CPAs
• Communicating with you about your account or our services
• Improving our website and services

We will not use your personal information for direct marketing purposes without your consent, and you may withdraw that consent at any time.

Disclosure to third parties

We do not sell, rent, or trade your personal information. We may disclose your information to third parties only in the following circumstances:

Formspree: Our website contact forms are processed by Formspree (formspree.io), a third-party form handling service. When you submit a form, your name, email, phone number, and message are transmitted to Formspree’s servers so that the submission can be delivered to us. Formspree’s privacy practices are governed by their own privacy policy, available at formspree.io/legal/privacy-policy.

Cloudflare: Our website is hosted on Cloudflare Pages and uses Cloudflare’s infrastructure for content delivery and security. Cloudflare may process connection metadata (such as IP addresses) as part of delivering our website. Cloudflare’s privacy policy is available at cloudflare.com/privacypolicy.

Professional service providers: We may share your information with our professional advisors (such as legal counsel), cloud accounting software providers (such as Xero or MYOB), and the Australian Taxation Office (ATO) where required by law or with your authorisation.

Legal requirements: We may disclose your information where required or authorised by law, including in response to a court order or to comply with our obligations as registered tax agents.

Cookies and tracking

Our website does not use cookies for analytics or tracking. Cloudflare Web Analytics — the analytics tool we use — is cookieless and does not fingerprint individual users. No personal data is collected for website analytics purposes.

Your browser may store technical cookies necessary for website functionality (such as security tokens). These are session-based and contain no personally identifiable information.

Data storage and security

Your personal information is held securely by us and our authorised service providers. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. These measures include password-protected systems, encrypted communications, and access controls.

Our primary data storage and practice management systems are located in Australia or in cloud environments that comply with Australian data handling standards.

Data retention

We retain your personal information for as long as necessary to fulfil the purposes for which it was collected, and as required by law. As registered tax agents, we are subject to record-keeping obligations under the Tax Agent Services Act 2009 and the Income Tax Assessment Act 1997, which generally require financial and tax records to be retained for a minimum of five years.

Enquiry form submissions that do not result in an engagement are retained for a reasonable period to manage follow-up and are then securely deleted.

Your rights under the Australian Privacy Principles

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

Access the personal information we hold about you
Correct personal information that is inaccurate, out of date, incomplete, or misleading
Make a complaint if you believe we have mishandled your personal information

To exercise any of these rights, please contact us using the details below. We will respond to access and correction requests within 30 days. In some circumstances, we may be unable to provide access (for example, where it would reveal the personal information of another individual), and we will explain why.

Privacy complaints

If you have a concern about how we have handled your personal information, please contact us in the first instance. We take privacy complaints seriously and will endeavour to resolve your concern promptly and fairly.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
